Who is responsible for your data

What data we collect

We collect only the information needed to operate the website, respond to enquiries and develop a possible customer relationship.

  • Contact details, such as your name and work email address
  • Your company name, if you choose to provide it
  • The message and other information you send through our form, email or meetings
  • Technical information recorded when the website or its services are used, such as IP address, browser information, timestamps and requested pages

Please do not send sensitive personal data through the website contact form.

Why we use personal data

Enquiries and possible partnerships

We use the information you provide to respond, understand your situation, arrange discussions and take steps you request before entering into a contract. The legal basis is taking steps at your request before a contract and our legitimate interest in managing business enquiries and customer relationships.

Operating and protecting the website

We may use limited technical information to deliver the website, diagnose errors, prevent misuse and maintain security. The legal basis is our legitimate interest in operating a reliable and secure service.

Legal obligations

We may process information when necessary to meet accounting, regulatory or other legal obligations.

Where the data comes from

Most information comes directly from you when you submit a form, email us, book a meeting or speak with us. Limited technical information may be generated automatically when you use the website.

Who receives the data

Personal data is available only to people at Velho who need it for the purposes described in this policy. We may also use service providers for website hosting, communications, email and lead management. These providers process data for us under appropriate contractual and confidentiality obligations.

We do not sell personal data.

International data transfers

Some service providers may process data outside Finland or the European Economic Area. When data is transferred outside the European Economic Area, we use an applicable legal transfer mechanism, such as an adequacy decision or the European Commission's Standard Contractual Clauses, where required.

How long we keep data

We keep personal data only for as long as it is needed for the purpose for which it was collected. The period depends on whether an enquiry develops into a customer relationship, whether the conversation remains relevant and whether law requires us to retain specific records. When data is no longer needed, we delete or anonymise it.

Cookies and analytics

We use Google Analytics 4, deployed through Google Tag Manager, to understand how the website is used and improve it. Analytics storage is denied by default. If you accept analytics cookies, Google Analytics may store cookies and collect technical and usage information such as page URLs, approximate location, browser and device information, and interactions including page views, scrolling and outbound link clicks.

If you decline, analytics cookies remain disabled. Google Consent Mode may still send limited measurements without cookies for basic measurement and modelling. Advertising storage, advertising user data and ad personalisation remain disabled whether you accept or decline. We do not use website activity to build advertising profiles.

We save your choice in your browser's local storage so the site can remember it. You can change your choice at any time using Cookie settings in the footer.

Google processes analytics information for us. You can read more about how Google uses information from sites that use its services.

Automated decision-making

We do not make decisions that produce legal or similarly significant effects about you solely through automated processing.

Your rights

Depending on the circumstances and the legal basis for processing, you may have the right to:

  • access the personal data we hold about you
  • correct inaccurate or incomplete data
  • request deletion or restriction of processing
  • object to processing based on legitimate interests
  • receive data you provided in a portable format
  • withdraw consent where processing is based on consent

Please contact us first if you have a question or concern. You also have the right to lodge a complaint with the supervisory authority. In Finland, this is the Office of the Data Protection Ombudsman.
